Function
The incumbent will provide casework management in accordance with the National Standards set out by Big Brothers Big Sisters of Canada. She/he will be responsible for matching volunteer mentors with children and youth, and for monitoring those matches to ensure the healthy development of the relationships.
The Mentoring Coordinator will work within the guidelines, policies and mission of the Agency and will be accountable and responsible for specific projects as assigned.
Primary Responsibilities
- accept and document applications of potential volunteers and clients (including parent, guardian, child, youth, etc.)
- manage intake of children and volunteers, including orientation, interviewing, screening etc.
- conduct reference checks of potential volunteers
- inform volunteers of their acceptance or rejection
- inform families of the reasons for the denial of service or for the closing of an application or referral
- contact schools or other involved social service agencies as appropriate for assessment input
- conduct the Pre-Match Training program with Mentors, Mentees and parents/guardians
- maintain case notes on all cases in accordance with the National Standards
- facilitate the match closure process for Mentor, Mentee and parent/guardian
- provide regular reports to the Executive Director, or special reports as requested
- maintain strict confidentiality as outlined in the agency’s Privacy and Confidentiality Policy
- ensure all mentees, parents/guardians and Mentors are informed of any pertinent agency information such as group programs, change of policy, change of address etc.
- perform administrative functions as required to manage caseload
- make referrals to other agencies as warranted
- participate in committees as required
- liaise with schools, other youth service agencies, other community groups, clubs or the public in general as required
- assist with recreation events as required
- complete a yearly performance appraisal, including goals and objectives for the coming year
- remain aware of federal and provincial privacy legislation and the agency’s privacy policies and practices
Qualifications
In accordance with Big Brothers Big Sisters of Canada’s National Standards, all Mentoring Coordinators must:
“Have a two-year post-secondary diploma in a related field (e.g. education, social or human services, child and youth work, family studies, etc.) or equivalent qualifications.
In addition to this, the agency may require the incumbent to have:
- effective oral and written communication skills
- strong problem-solving skills
- ability to interact with people of all ages and cultural backgrounds
- ability to work independently and as part of a team
- sound computer skills
- ability to work flexible hours
- access to a vehicle
- bilingualism is an asset
Conditions of Employment
Salary: $40,000-$47,500 (35 hours per week)
- Health, Dental, and AD&D
- Full-time employees entitled to 2 weeks’ vacation.
- Up to 5% RRSP contribution match after one year of service

Many children and youth in Canada struggle with societal barriers and face adversities in their lives like detrimental living conditions, family violence, risk factors for mental health, school issues and identity challenges.
These circumstances have nothing to do with the value of who they are or who they can become, but because of these situations, children and youth risk not having the opportunity to live up to their full potential.
Even worse is the possibility of continuing cycles of poverty and crime or developing mental health issues.
This comes at a cost to the young person, and to society.
With the guidance and support of a mentor, these risks can be reduced or even avoided, and youth are reminded they can be anything they dream of being.

Each Big Brother Big Sister agency provides direct service to children by matching volunteers and youths in quality mentoring relationships. Our agency staff members are experts at screening volunteers and matching them with a mentee having similar interests.
The national organization provides services and programs to our member agencies to assist them with their work with parents, mentees, and volunteers. Ranging from staff training workshops to our leading Child Safety Program, Big Brothers Big Sisters of Canada works diligently to ensure we have superior quality programming in all parts of the country.
